Your product documentation with ecratum
Define what you need
Note: The following process is designed to assist you in quickly assigning all required product documents to your suppliers to start with automatically keeping your documentation up to date.
Alternatively, you can request documentation manually in ecratum, but we suggest only relying on it in special cases.
Grouping
First group all purchased products on the basis of the required documentation.
Example:
For all raw materials the following documentation is needed for each material:
- Allergen declaration
- GMO-Declaration
- Specification
- Pesticide analysis
- HACCP-Flowchart
For all packaging materials the following documentation is needed for each material:
- Specification
- 1930/2004-Certificate
- gu2007/17-Certificate
In ecratum, those documents are called document types as a generalization. Document types are used to specify the content of the required documentation. Each type of content has to be separately requested in ecratum, to guarantee transparency and control for every document you requested, received and approved.
Now group all of your purchased materials in such a manner that, products with a similar combination of required document types are in one group. In ecratum, those groups are called product groups. As an example your product group and document type structure could look something like this:
Raw Materials | Plastic Packaging
Allergen declaration | x
GMO-Declaration | x | |
Specification | x | x |
Pesticide Analysis | x | |
HACCP-Flowchart | x |
